Privacy Policy
Last updated: October 2026
Introduction
TranscriptMagic ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our website, iOS app and Chrome extensions.
Information We Collect
Account Information
When you sign in with Google, we receive your email address, name, and profile picture from Google. If you sign in with Apple in our iOS app, we receive the email address Apple shares with us (this may be a private relay address). This information is used to create and manage your account. When you sign up we also note how you found us: the first page you visited, the site that sent you, and any campaign tags in that link.
Videos and Transcripts
To make a transcript, we send the video link you give us to the service that fetches it (see Third-Party Services). If you're on a paid plan, we save the video link, its title and thumbnail, and the transcript to your transcript history so you can come back to it. Podcast episodes, uploaded files and long videos are processed as jobs: we keep the episode or video link (for an upload, the file name) and the finished transcript with your account so you can open them again. We don't keep copies of the videos themselves.
Uploaded Files
Audio and video files you upload are stored temporarily on Cloudflare R2 while we transcribe them, and deleted once the transcript is done or the job fails.
Usage Data
We count the transcripts and AI actions used by your account or device to apply your credits and usage limits, and note which of our apps or extensions made each request. To stop abuse of free features, we use your IP address for rate limiting and keep it for no more than a day.
Device Identifiers
We generate a random device identifier, stored locally in your browser or app, to track free usage before you sign in. When you sign in, we link that identifier to your account.
Analytics
Our website uses Google Analytics, which uses cookies, to understand how visitors use the site, for example which pages are visited and when someone starts a checkout.
How We Use Your Information
- To provide and maintain our service, including your transcript history
- To track usage and apply your credits and usage limits
- To process payments through Polar, our merchant of record, or through Apple for purchases in our iOS app
- To communicate with you about your account or subscription
- To understand how people find and use TranscriptMagic, so we can improve it
Emails We Send
We only email you about your own account. That means:
- Account and billing emails about your account or subscription (payment receipts come from Polar, our merchant of record)
- Notices when you run out of free credits and when they reset each month. These may mention our paid plans and, for some accounts, a discount on the first month.
These emails are sent through Cloudflare Email Service. We record whether you click a link in a credit notice, but not whether you open it. Every credit notice includes a one-click unsubscribe link, and you can turn them off at any time in your Account settings. We never sell your email address.
If you're in the UK or EU: we send account and billing emails because they're part of providing the service you signed up for (contract), and credit notices because we have a legitimate interest in telling you about your own account. You can object to credit notices at any time by unsubscribing.
Data Storage
Your account data, transcript history and job records are stored on Cloudflare's infrastructure. Uploaded files are kept on Cloudflare R2 only while we transcribe them.
Third-Party Services
We use the following third-party services:
- Google Sign-In - For authentication
- Sign in with Apple - For authentication in our iOS app
- Polar (polar.sh) - Our merchant of record, for payment processing and billing on the web
- Apple App Store - For purchases made in our iOS app
- Cloudflare - For hosting, storage and infrastructure, and for sending account emails (Cloudflare Email Service)
- Google Analytics - For website analytics
- ScrapeCreators - Receives the video links you submit, to fetch transcripts and video details from social platforms
- Groq - Turns podcast and uploaded audio into text, and powers AI features such as summaries, chat and translation
- OpenRouter - May route AI feature requests to xAI's Grok models
Each of these services has their own privacy policy governing how they handle your data.
Data Retention
We keep your account information, transcript history and job records for as long as your account exists. You can delete individual transcripts from your history at any time. You can delete your account in our iOS app, or request deletion of your account and associated data at any time by contacting us. Records of payments, and of the account emails we sent you, may be kept after your account is deleted.
Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to processing of your data
Chrome Extension Permissions
Our Chrome extensions require the following permissions:
- downloads - To save transcript files (SRT) to your device
- activeTab - To detect video pages on supported platforms
- tabs - To access the current tab URL for transcription
- storage - To store your preferences and usage data locally
- clipboardWrite - To copy transcripts to your clipboard
